Lesson 23 of 29

Teams & shared access

Group members into teams to scope playbooks, documents and access by function or matter.

As a workspace grows, "everyone sees everything" stops being the right answer. Teams let you group people by function — Commercial, Litigation, Operations — or by matter, and scope what each group can see and share. They keep a large workspace tidy and access appropriate.

By the end you'll know how to create a team, add members, and use teams to scope shared resources.

This is for owners and admins, under Settings → Organization → Teams.

Create a team

Under Settings → Organization → Teams, add a team with a clear name and a defined purpose — the clearer the name, the easier it is for everyone to know what belongs where.

Add members and scope what they share

Assign the relevant people to each team; someone can belong to more than one. Then use teams to decide who can reach shared playbooks and Vault content — so the commercial team's templates land with the commercial team, and sensitive matters stay with the people on them.

Mirror how your firm already works. Teams that match your real practice groups need far less explaining than ones invented for the tool.
